1. Who we are
Sustainable Sprinkler Inc. ("SSI", "we", "us") provides smart irrigation subscriptions, hardware, monthly wet-check services, reporting, and related repairs. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you interact with us online and offline (for example: sign up for a subscription, schedule service, receive monitoring/wet-check reports, or pay invoices).

2. Personal information we collect
We collect information directly from you, from your organization (if your HOA, property manager, or employer is our customer), from our devices and services, and from service providers.
- Contact and account data: name, email, phone, mailing and service address, company/HOA details, customer IDs, preferences.
- Subscription and billing: plan selection, add-ons, invoice history, payment status, autopay status. We do not store full card or bank numbers. Our payment processor stores tokens, last 4 digits, and expiration for billing.
- Device and service data: controller serial/ID, configuration, firmware, uptime, logs, irrigation schedules, zone mapping, alerts, sensor data (for example flow/pressure), water usage, wet-check notes and results.
- Site media and notes: photos or notes captured by technicians during installation, wet-checks, or repairs (for example to document issues or parts used).
- Support and communications: emails, calls, texts, and in-product messages.
- Online data: IP address, cookie/device identifiers, browser and device type, and site/app usage analytics (see "Cookies & tracking" below).
- Third-party contacts you provide: property manager, landscaper, or other service partners you ask us to coordinate with.

3. How we use personal information
- Deliver and support the services: install and maintain devices, monitor and perform wet-checks, issue reports and alerts, schedule and complete repairs, and provide customer support.
- Billing and payments: create invoices, process autopay, apply credits/late fees, manage collections, accounting, and taxes.
- Safety, security, and fraud prevention: protect accounts and systems, detect misuse or tampering.
- Improve and develop: troubleshoot, quality assurance, analytics, and new features.
- Legal and compliance: enforce terms, resolve disputes, respond to lawful requests.
- With consent: send marketing communications; use testimonials or photos you explicitly approve.

4. Legal bases for EEA/UK users
Where GDPR/UK GDPR applies, we rely on: (a) contract performance, (b) legitimate interests (for example service improvement and security), (c) legal obligation, and (d) consent where required (for example certain marketing).

5. How we share personal information
We do not sell personal information. We share information with:
- Service providers ("processors"), including: billing and accounting platforms (for example Zoho Billing/Books), field service tools (for example Zoho FSM), cloud hosting, email/SMS platforms, analytics, mapping, and payment processors.
- Affiliates and professional advisors (as needed for operations, audits, or legal advice).
- Authorities or third parties when required by law or to protect rights, safety, or property.
- Business transfers (for example merger, financing, or acquisition), subject to this Policy or a successor policy that offers comparable protections.

6. Payments
Payments are processed by our payment processor(s). We do not store full card or bank account numbers. We receive limited details (for example last 4 digits, brand, and transaction tokens) to operate autopay and respond to payment inquiries.

7. Cookies and tracking
We use essential cookies to operate our site/portal and may use analytics to understand usage and improve the service. You can control cookies via your browser settings. If you block cookies, some features may not work.

8. Data retention
We keep personal information for as long as needed to provide services and for legitimate business needs (for example records, security, tax), then delete or de-identify it according to our retention practices.

9. Data security
We use reasonable administrative, technical, and physical safeguards (for example encryption in transit, access controls, and least-privilege practices). No system is 100% secure. You are responsible for safeguarding your credentials and promptly notifying us of suspected unauthorized access.

10. International data transfers
We are based in the United States. If you are outside the U.S., your information will be transferred to and processed in the U.S. Where required, we use appropriate safeguards (for example standard contractual clauses).

11. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or receive a copy of your information, to object or restrict certain processing, or to withdraw consent. You can exercise rights by contacting us at privacy@sustainablesprinkler.com. We may verify your request and deny requests where permitted by law (for example when we cannot verify identity or must retain data). If your HOA, employer, or property manager is our customer, we may redirect your request to them.

12. U.S. state privacy disclosures (CA/CO/CT/UT/VA and similar laws)
- Categories collected: contact and account data; subscription and billing data; device and service data; site media/notes; support communications; online identifiers and analytics.
- Sources: you, your organization, our services/devices, and service providers.
- Purposes: see Section 3 above.
- Sharing: see Section 5 above. We do not "sell" personal information as defined by applicable state laws and do not share it for cross-context behavioral advertising.
- Sensitive personal information: we do not intentionally collect SPI (for example precise geolocation beyond service address). If collected, we limit use to the service.
- Rights: you may request access, deletion, correction, portability, or to opt out of any sale/sharing; submit at privacy@sustainablesprinkler.com.
- Non-discrimination: we will not discriminate for exercising rights.

13. Children’s privacy
Our services are not directed to children under 18. If you believe a child provided information, contact us and we will delete it where required by law.

14. Changes to this Policy
We may update this Policy from time to time. We will post the updated Policy with a new effective date. Material changes will be highlighted.
